Terms of use

1. Membership & Packages

  • Membership packages include: Free Listing, All-in-One, Strategic, Hospitality Group, and Strategic Global.

  • Each package defines the level of visibility, lead access, and number of profiles included.

 

2. Payments & Refunds

  • Membership Fees: All packages are billed annually in advance.

  • Add-ons: Optional services (extra profiles, premium content, SEO boosts) are billed separately and must be paid prior to activation.

  • Payment Methods: Accepted methods include bank transfer, credit card, or other approved digital payment systems.

  • Refund Policy:

    • Cooling-off period: Members may cancel within 14 days of purchase for a full refund, provided no services have been activated.

    • After activation: Once services (profiles, lead access, SEO articles, etc.) are activated, fees are non-refundable.

    • Exceptional cases: Refunds may be considered in cases of proven technical failure or non-delivery of contracted services, subject to Visit Mundus review.

 

3. Termination of Membership

  • By Member: Members may terminate their membership at any time by written notice. No refunds are provided after activation.

  • By Visit Mundus: Visit Mundus reserves the right to terminate membership if a member violates the Code of Conduct, fails to meet verification criteria, or defaults on payment.

  • Data Handling: Upon termination, member data is deleted in accordance with GDPR (within 30 days of request).

 

4. Definition of “Profile”

  • A Profile is defined as a business unit within a company.

  • Examples:

    • Hotel = 1 profile

    • Restaurant = 1 profile

    • Spa = 1 profile

    • MICE venue = 1 profile

  • Multi-property operators (e.g., hotel chains, groups) must register each property as a separate profile under Hospitality Group or Strategic Global packages.

 

5. Add-on Profiles

  • Members may purchase additional profiles beyond the package limit.

  • Each add-on profile is billed at the current rate published by Visit Mundus.

  • Add-on profiles must meet the same verification criteria as standard profiles.

 

6. Code of Conduct

  • Members must maintain accurate information and respond to inquiries on time.

  • Members must comply with all applicable laws and regulations.

  • Visit Mundus reserves the right to suspend or terminate accounts that breach these standards.

 

7. Liability & Disclaimer

  • Visit Mundus provides matchmaking and visibility services but does not guarantee specific business outcomes.

  • Visit Mundus is not liable for disputes between members and buyers.

  • Members are responsible for their own contracts, pricing, and service delivery.

  • A backlink to VisitMundus.com is required.

  • Benefits of backlinks: improved SEO, higher visibility, referral traffic, and strengthened online authority.

  • Provides a foundational online presence with a basic CMS profile, a direct website link, and one annual social media post.

3. Paid Memberships

  • Membership plans: Explorer, All-in-One, and Enterprise Solution.

  • Each application is reviewed to ensure quality and compliance with official tourism accreditation.

  • Approved applications receive an invoice; the profile is activated within 5 working days after payment.

  • Membership is valid for 12 months from the payment date. Partial or instalment payments are not accepted.

  • Paid plans include: multiple CMS profiles, direct website links, enhanced SEO content, high-value backlinks, social media posts, Web Boost promotion, and concierge support, depending on plan.

4. Registration Review and Approval Process

Free Registration:

  • Only fully completed applications (all fields) that meet the Visit Mundus Consortium standards will be published.

  • Information is collected solely to accurately describe and position your business optimally on our platform.

  • In Free mode, a backlink to VisitMundus.com is required. This backlink helps:

    • Improve SEO ranking

    • Increase visibility

    • Generate referral traffic

    • Strengthen online authority

 

Additional Requirements:

  • Accommodation providers must have a minimum rating of 7+ on Booking.com and 4+ on Google Reviews.

  • Restaurants must have a rating of 4 or higher on Google Reviews and TripAdvisor.


Notification of Outcome

Following the review of your application, you will be notified of the outcome via the email address you provided during the registration process.

  • If your application is selected and approved, we will send you an invoice for the annual membership fee to the same email address. Upon receipt of payment, we will proceed to set up your company's profile and access to our system within five (5) working days.

  • If your application is not approved, we will notify you of this decision via the email address you provided, outlining the reasons for the non-approval where applicable.

  • Thank you for your cooperation and understanding of our registration policy. We are committed to providing a high-quality and trustworthy platform for all our users.

  • You will be notified by email whether your application is approved or not. Reasons for non-approval will be provided when applicable.

 

Membership Registration (Paid Plans):

  • Each application is reviewed to ensure it meets our quality standards and complies with official tourism accreditation requirements.

  • Applicants are notified via email about approval.

 

If approved:

  • An invoice for the annual membership fee is sent.

  • Upon payment, company profiles are set up within five (5) working days.

  • Membership is valid for 12 months from the date of payment.

  • Partial or instalment payments are not accepted.

 

If not approved:

  • Notification is sent via email, including reasons for non-approval if applicable.

 

5. Responsibility & Legal

  • VisitMundus.com is responsible for its own content. Third-party content is the responsibility of the respective owners.

  • Links to external websites are not continuously monitored; any illegal content will be removed upon discovery.

  • Copyrighted materials on our platform require author's permission for use outside personal purposes.

6. Lead Access Rules:
 

  • Centralized Lead Database All leads generated through Visit Mundus activities (including trade fairs, fam trips, and digital campaigns) are stored in a centralized database on the platform.

  • Access Rights

    • Access to the lead database is restricted to members holding Strategic Membership or higher.

    • Members with All-in-One or Free Listing packages do not have access to the lead database.

  • Self-Selection via Filters

    • Leads are not distributed or assigned by Visit Mundus.

    • Eligible members access the database and use filters (segment, location, capacity, language, etc.) to identify the buyers or partners most relevant to their business.

    • Each member independently decides which leads to contact.

  • Direct Interaction

    • Once a lead is selected, members may contact the buyer directly via phone, email, or through the Visit Mundus digital contact form.

    • If the buyer has uploaded a PDF brochure or additional materials, these are available for review by the member.

  • Transparency and Fairness

    • Because Visit Mundus does not assign or divide leads, all eligible members have equal opportunity to access and engage with the database.

    • This system ensures transparency, avoids disputes over lead allocation, and accelerates the sales cycle by enabling direct communication.

 

ADDENDUM TO PRIVACY POLICY: UTILIZATION OF PROPRIETARY STRATEGY DATA

This Addendum outlines the specific terms governing the collection, processing, and application of data collected within the "AI Matchmaking & Strategic Strategy" section of the VisitMundus partner registration form (hereinafter referred to as "Proprietary Strategy Data" or "D-Data").

1. Definition of Proprietary Strategy Data (D-Data)

Proprietary Strategy Data includes non-public, commercially sensitive information voluntarily provided by the Partner, such as: (i) Ideal MICE/Group Capacity or Size. (ii) Highest Margin Products or Services (Signature Dishes, exclusive packages). (iii) Preferred Booking Lead Time for major events. (iv) Identified weakest operational periods or seasonal gaps. (v) Unique logistical or technological advantages.

2. Exclusive Purpose and Utilisation

The D-Data collected by VisitMundus is utilised for the following exclusive purposes:

A. Lead Filtering and Margin Protection: The D-Data serves as a protective filter for the Partner. It is used exclusively by the VisitMundus AI Matchmaking Engine to reject and exclude potential B2B leads that fall outside the Partner's stated profitable parameters (e.g., rejecting a lead for 500 guests if the stated maximum is 200). This protects the Partner’s time and profit margins.

B. Content Uniqueness and Positioning: The D-Data is incorporated into Partner-specific Travel Synthesis articles to position the Partner as the sole strategic solution for a targeted HVC or B2B query. This utilisation creates a content asset that cannot be replicated by generic AI models.

C. Anonymised Market Aggregation: D-Data may be aggregated and anonymised (stripped of any identifying links to the Partner's name or location) to identify overall market trends (e.g., high demand for 12-month bookings in the MICE sector). These anonymised trends may be sold as Strategic Intelligence to paying partners but will never contain raw, identifiable information.

3. Non-Disclosure and Competition Guarantee

VisitMundus strictly guarantees that:

A. Proprietary Strategy Data will never be sold, rented, or transferred in its raw, unaggregated, or identifiable form to any direct competitor of the Partner (i.e., another hotel in the same immediate market, or a restaurant targeting the identical niche).

B. The explicit information regarding the Partner's operational weaknesses (e.g., "weakest month is January") will only be used by the AI to actively target new business for that specific period in the Partner’s dedicated articles, thus acting as a corrective mechanism, not a competitive disadvantage.

By providing D-Data, the Partner acknowledges and agrees that this information will be used by VisitMundus AI solely to maximise the relevance, quality, and profitability of the leads directed to the Partner, thereby serving as a mechanism for Competitive Advantage and Margin Optimisation.

4. Governing Law

  • All disputes are subject to the jurisdiction of the courts in Koper, Slovenia.

The owners or administrators of linked websites are solely responsible for their content.
Links are verified for legal compliance at the time of connection. Continuous monitoring is not feasible unless there are reasonable indications of illegal content. Any unlawful links will be removed immediately upon discovery.
